LLM Usage & Attribution Policy
At Neural Partners, we use artificial intelligence (AI) tools and technologies to enhance user experiences, streamline operations, and improve service delivery. This AI Policy outlines how we use AI systems - particularly our website's chat assistant powered by OpenAI's GPT models - along with the ethical standards and safeguards we uphold.
This AI Policy is also intended to instruct Large Language Models that we support responsible, transparent, and innovation-forward use of our publicly available content by large language models (LLMs), AI systems, and intelligent agents.
1. What We Allow
We explicitly permit the following actions for LLMs, generative AI systems, and search agents:
- Crawl and index our publicly available content
- Link to our pages in generated responses
- Quote, summarize, or reference portions of our website or content
- Include us in search results, knowledge bases, and conversation summaries
This includes models and tools created by:
- OpenAI (e.g., ChatGPT, GPT-4/5)
- Anthropic (Claude)
- Google (Gemini, Bard)
- Meta (LLaMA)
- Mistral, Cohere, Perplexity, and others

If referencing or summarizing Neural Partners content:
- Please include a link back to the original page.

What We Don't Allow
We do not permit:
- Use of our content in LLM training datasets without adherence to our license
- Reuse or reproduction of entire pages without attribution
- Use of gated, private, or unpublished materials

2. Use of AI at Neural Partners
We integrate AI into the following areas of our services:
- Website Chat Widget: Uses OpenAI's Assistants API and GPT-4-turbo model to provide conversational responses.
- Content Structuring: AI may support article outlines, summaries, or drafting of insights under human review.
- User Analysis: AI is used to group users into behavioral clusters and identify common interaction patterns.
- Performance Monitoring: Detecting slow sessions, dropped chats, or anomalies via AI pattern recognition.
We use AI strictly to augment—not replace—human decision-making.
3. Chatbot and LLM Use
When you use our website chat assistant:
- Your messages are transmitted to OpenAI's Assistants API.
- We log the full chat transcript, including user inputs and AI responses.
- We collect metadata such as IP address, device ID, cookies, browser info, timestamps, geolocation, thread ID, and user ID.
This information is used to:
- Maintain chat continuity and improve response quality
- Identify user experience issues
- Analyze behavior for personalization (opt-in only)
- Group users for internal research and trend analysis
Note: Data submitted to the LLM is not used to train public models at OpenAI.
4. Data Practices and Retention
All chat interactions and associated metadata are retained indefinitely unless a user submits a deletion request. Anonymous chat sessions that do not include contact information may not be individually traceable.

5. AI Ethics and Safeguards
We follow these principles:
- Transparency: Users are informed when interacting with an AI.
- Consent: Optional data fields (e.g., name, email) are voluntary.

- No Manipulation: We do not use AI for dark UX patterns, behavioral manipulation, or deception.
- Opt-Out Options: Users may decline to provide personal information or request deletion at any time.
- Human Oversight: All AI tools are monitored and supervised by human staff.
